Messaging and communications policy

Drafted 12 September 2026.

Draft pending legal review

This document was drafted during product development and has not been reviewed by a lawyer. It must be reviewed and approved by the owner's attorney before the service is offered commercially. Last drafted 12 September 2026.

This is a follow-up tool, not a cold outreach tool

The product is designed around one situation: someone asked your business for an estimate, and you are following up on that estimate. It is not built for prospecting to strangers, and we will not add features whose purpose is to make that possible.

Basis for contact

When you add or import contacts you must attest that you have a proper basis to contact them about the estimate. We store that attestation, its source where you provide one, and the time it was recorded, alongside each contact.

Sender identification

Every message identifies your business by name. Messages that hide who is sending them are not permitted, and templates cannot remove the business name.

Opt-out handling

  • Opt-out requests are recognised by fixed rules, not by AI interpretation.
  • Common stop wording is honoured, including STOP, unsubscribe, remove me, do not contact me, and similar phrases.
  • Follow-up stops immediately, including messages already queued to send.
  • The contact goes on a permanent suppression list. Re-importing them does not restart messaging.
  • Every outbound email carries a working unsubscribe path.

Timing

Messages are only sent inside the business hours you set, interpreted in the recipient's timezone where we know it, with conservative daytime defaults.

Text messaging status

Text messaging is built but deliberately switched off. Production text messaging requires completed business verification with the messaging provider and registration of the sending number with carriers. Until both are finished, text messaging stays in test mode and only email is delivered. We will not send production text messages before those requirements are met, and we will never attempt to work around carrier filtering or registration.

Email deliverability

Email is sent from an authenticated sending domain with the standard authentication records in place. We monitor bounces, complaints and delivery failures, and we stop sending to addresses that bounce rather than retrying them.

Volume and abuse controls

Every account has sending rate limits and a plan allowance. Unusual volume or unusually high opt-out rates trigger review, and accounts that misuse the service can be suspended.
